Introduction to Agent Chat - For first time users -

Are you spending more time than you'd like reading through multiple documents to make a point, or following a series of steps in sequence?
In this article, we introduce Agent Chat, which allows you to request a multi-step task in AI, in an easy-to-understand manner, even for first time users.
What is Agent Chat?

Agent Chat is one of the function of Government AI GENAI. It is possible to have a AI agent (a AI that proceeds autonomously) execute work and duties that consist of multiple procedures in succession. Agent Chat can be used from GENAI's web screen.
For example, you can retrieve and organize information, or examine and compare multiple information sources, all with a single request. All you need to do is ask or instruct the AI, and he or she can build the workflow you want.

The term "AI agent" may sound difficult, but it does not require specialized knowledge.
The set of procedures and tools that enable an AI to perform a specific task is called a "skill." Skills are written in Japanese sentences, not in programming languages. As a result, even beginners can read and understand the contents and rewrite them as needed.
About GENAI Kobo

Digital Agency also offers the "GENAI Workshop" as a usage environment for AI agents. The GENAI Workshop is a mechanism for creating and using more advanced AI agents.
At "GENAI Kobo," staff can comprehensively collect information that cannot be collected by web search alone, and develop prototypes that actually work.
If you are a AI agent beginner, you should first try Agent Chat. Agent Chat specializes in supporting daily office work such as research and document preparation.

The goal of providing agent chat in GENAI is to allow staff to focus on human tasks such as setting agendas and determining strategies. AI agents will help with time-consuming tasks such as reading and organizing materials and comparing multiple materials.
Agent Chat is one of GENAI's main tools that many state employees expect to use extensively in their daily work.
Introduction effect

Next, let's take a look at the effects you can expect from using Agent Chat. The effects vary, but here are two typical examples.
① Perform multiple tasks at once → Reduce time and effort
The first is that multi-step work can be done together, saving time and effort.
In a normal AI chat, questions and answers are repeated. In contrast, in an agent chat, a series of work steps, such as reading a file in My Drive, organizing the contents, and saving the output to a Word file, are autonomously performed using "skills." While an AI is working, an employee can also proceed with other duties.
② More comprehensive => Improvement of business quality

Even tasks that tend to be overlooked when done manually, such as checking and collating information that spans multiple files, can be easily handled without omission using the AI Agent. The ability to handle a large amount of materials and data using consistent standards is an advantage.
The aim of these effects is to realize a work style that allows employees to focus on higher value-added work that only humans can do, such as setting issues and determining strategies.
On the other hand, agent chat is also not a panacea. The final verification must always be carried out by the official himself, since the generated content may not be correct.
These points to keep in mind are explained in detail in "Intermediate Agent Chat," along with advanced usage. Using AI based on an accurate understanding of both its benefits and limitations is a major prerequisite for expanding the use of ICT.
Basic Usage
From here, I will introduce the basic usage in order while looking at the actual screen.
[How to use (1) Start]
Select "Agent Chat" from the GENAI menu and the following screen will appear.

In the entry field at the bottom of the screen, enter the work you want to ask in your usual language. You don't have to remember any special symbols or commands.

There is also a dedicated file storage area "My Drive" where users can store the files they want to load and the AI agent will refer to them when performing work.

There can be multiple files. Any files the AI creates for a Skill are automatically stored here as well.
If you remember the two fields introduced here, the entry field for Agent Chat and My Drive, you can start the operation immediately.
[How to use ② How to submit a request]

The point of a request to an AI agent (when giving instructions to a AI) is to specifically communicate what you want them to do.
For example, type I want to review the July 20 meeting material on My Drive and create a bulleted list of decisions and issues. Print the file to Word format, and then save it to My Drive.
In this way, if you clearly write the target material and the desired form, it will be easier to obtain results that are in line with your intentions. Once you get used to it, you will be able to obtain sufficient results by just telling the target material and the desired form in one sentence.
[How to use (3) Check the progress and results]
When you submit a request, the AI Agent will take you through a number of work steps, and you will be able to see your progress on the screen so that you can quickly check whether you are going in the wrong direction.

When you're done, be sure to check the output, which in this case looks something like this:

In the Word file that has been output, the decisions and issues to be considered have been sorted out and organized according to the request.
[How to use ④ Request for revision]

If the result is not what you intended, you can continue in the same chat to indicate the correction.
For example, you can say, "I'd like you to write a little more about the topic of discussion." You don't have to start from the beginning.
Even if you can't achieve a perfect shape at once, you should approach the ideal shape through repeated dialogue. This is the basic usage.
[How to use (5) Saving skills / Reference when you are in trouble]

When you're done, you can save the steps you've taken as "skills." You say, "Hey, save your work as skills," and the AI writes the steps to a file in markdown format.
The file is called "SKILL. md" and is located in the "skills" folder on My Drive. You can review the file and correct any mistakes.

If you have questions about how to operate the system, please check the "Frequently Asked Questions" on the GENAI menu. If you still have questions, please contact us from the "Inquiry" section.
Summary and Next Actions
This time, we introduced an overview of Agent Chat, the effects of its introduction, and basic usage. There is no need for difficult operations. First of all, please choose one familiar task and try it starting with simple tasks.
If you would like to get a more concrete image of how it is used in actual work, please also refer to the video article of "[Government AI GENAI] Agent Chat Elementary." The following four utilization cases are introduced.
- Drafting of leaflets for residents
- Create one page executive summary from anticipated questions and answers
- Preparation of the first draft of the guidelines for holding advisory councils and committees
- Aggregation and trend analysis of user questionnaire by question
